2. Personal data we collect

Depending on how you interact with us, we may collect the following categories of personal data:

• Identity and contact data: name, email address, telephone number, and postal address when you submit our contact form, register for a course, or correspond with us.
• Health and safety data: information you voluntarily provide on health questionnaires (for example, previous injuries, medical conditions relevant to training). We collect this only where necessary to adapt drills and maintain a safe environment.
• Transaction data: program selected, payment status, invoice references, and attendance records. We do not store full credit card numbers on our servers; payments are processed through third-party payment channels we specify at checkout.
• Technical data: IP address, browser type, device type, and pages visited, collected in server logs for security and troubleshooting. We do not use third-party advertising analytics on this website.
• Cookie preference data: your choices about optional cookies, stored locally in your browser as described in our Cookie Policy.

Providing contact and health information is voluntary, but we may be unable to enrol you in physical training without minimum details needed for safety planning.

4. Purposes and legal bases for processing

We use personal data for legitimate purposes connected to our self-defence instruction business, including:

• Scheduling classes and communicating timetable changes;
• Assessing training suitability and adapting exercises for health limitations you disclose;
• Maintaining attendance and incident records for insurance and safety review;
• Issuing invoices and recording payments;
• Complying with applicable laws and responding to lawful requests from authorities;
• Protecting our website and studio from fraud, abuse, or security incidents;
• Improving our programs based on aggregated feedback (without identifying individuals in internal reports unless necessary).

Under the PDPA, we rely on consent where required (for example, optional cookies and certain marketing communications if ever offered), and on deemed consent or legitimate business purposes for operational data you provide when requesting our services.

We document the purpose of each data field on our registration form so staff do not collect information "just in case." If a field is optional, it is labelled accordingly. Mandatory fields are limited to what we need to contact you, confirm eligibility, and maintain safety records for attended sessions.

We do not use your data to build automated risk scores or to sell mailing lists to equipment vendors. Occasional emails about new intakes are sent only to past students who opted in during enrolment or through a separate checkbox on the contact form.

5. Disclosure of personal data

We do not disclose health questionnaires to other students. Instructors receive summary flags — such as "knee limitation, no deep lunges" — rather than full medical histories unless you authorise broader sharing for safety planning.

5a. Do Not Call and messaging

If you provide a telephone number, we may call or message you about enrolment, schedule changes, or safety alerts related to your registration. We do not telemarket unrelated services. You may ask us to use email-only communication where practicable.

6. Retention

We retain personal data only as long as needed for the purposes above:

• Enquiry form submissions: up to twenty-four months unless an enrolment follows;
• Student records and health questionnaires: up to seven years after last attendance for insurance and legal limitation periods;
• Financial records: as required by applicable tax and accounting rules;
• Server logs: typically ninety days unless needed for a security investigation;
• Cookie consent records: stored in your browser until cleared.

We securely delete or anonymise data when retention periods expire.

Anonymised attendance statistics — such as average class size by month — may be kept indefinitely for capacity planning. Those statistics cannot reasonably identify individuals.

If you request deletion before retention periods end, we will comply where the PDPA allows and where we no longer need the data for legal claims or safety investigations. Some records must be kept even after deletion requests when law or active insurance matters require it; we will explain that in our reply.

Physical enrolment forms and signed waivers are stored in locked cabinets at the studio. Digital copies, where created, reside on password-protected devices accessible only to authorised staff. We review access lists when instructors leave or change roles.

7a. Data accuracy

You are responsible for informing us of changes to your contact details or health disclosures that affect training. We take reasonable steps to ensure data is accurate when collected and corrected upon verified request. Outdated email addresses may cause you to miss safety notices; please update us promptly if your inbox changes.

8. Your rights under the PDPA

Subject to exceptions in the PDPA, you may:

• Request access to personal data we hold about you;
• Request correction of inaccurate or incomplete data;
• Withdraw consent for processing that relies on consent (which may affect our ability to provide certain services);
• Request information about how we have used or disclosed your data in the past year.

9. Marketing communications

We do not send bulk promotional email without consent. Operational messages about your enrolment, safety notices, or schedule changes are not marketing. If we ever offer an optional newsletter, you will be able to opt in separately and unsubscribe at any time.

10. Third-party links and embedded content

Our website may link to external resources or embed Google Maps on the contact page after you consent to functional cookies. Third-party services have their own privacy policies. We encourage you to review Google's privacy information if you load the map embed.

11. Children

Our adult programs are intended for participants aged eighteen and above. We do not knowingly collect personal data from minors through this website. If you believe a minor has submitted data to us, contact us and we will delete it promptly.

12. Data breach notification

If a data breach likely to cause significant harm comes to our attention, we will assess the situation promptly and notify affected individuals and the Personal Data Protection Commission where required by law. We maintain internal procedures for containing breaches, preserving evidence, and communicating remedial steps.

13. Changes to this policy

We may update this Privacy Policy to reflect legal or operational changes. The "Last updated" date at the top will change accordingly. Material changes may be highlighted on the website homepage for a reasonable period.

14. International visitors

Short-term residents and visitors to Singapore may enrol in single modules or full programs if they meet age and health requirements. We do not transfer personal data to overseas recruiters or immigration agents. Passport details are not collected through the website contact form; if required for corporate invoicing, they are handled offline with explicit notice.

15. Automated decision-making

We do not use automated decision-making or profiling that produces legal or similarly significant effects. Enrolment decisions involve human review of your questionnaire and available places.
